Purchasing & Operations Coordinator

Pay Rate: $22.00-$24.00 per hour
Schedule: Approximately 7:30 AM-4:00 PM, with a 30-minute lunch
Position Type: Full-time, On-site

Position Summary

We are seeking a detail-oriented and proactive Purchasing & Operations Coordinator to support the day-to-day operations of a growing wholesale distribution business specializing in building materials and related products.

This position will be responsible for purchasing, vendor coordination, QuickBooks and bookkeeping support, inventory tracking, logistics coordination, and order accuracy.

This is not a sales position. The Purchasing & Operations Coordinator will work closely with the sales team by verifying product availability, vendor schedules, purchasing status, costs, inventory levels, and shipping timelines to help ensure accurate and timely order fulfillment.

Key Responsibilities

  • Create and manage purchase orders and coordinate with vendors regarding pricing, confirmations, availability, and delivery schedules
  • Enter vendor bills and match invoices against purchase orders
  • Support Accounts Payable and Accounts Receivable, including entering and reviewing customer invoices and sales orders
  • Track inventory and product/order activity, including the impact of sales orders and invoicing on inventory
  • Coordinate freight, shipping, and warehouse logistics
  • Follow up on shipping delays, shortages, damages, and order discrepancies
  • Maintain bookkeeping records, price lists, order trackers, and basic reporting using QuickBooks and Excel
  • Communicate professionally and proactively with sales, vendors, warehouse partners, and management
  • Provide customer service support by phone when needed, secondary to core purchasing and operations responsibilities
  • Take ownership of open items and follow them through to completion, with a strong focus on accuracy and preventing errors

Required Qualifications

  • Hands-on QuickBooks experience
  • Purchasing and vendor communication experience
  • Accounts Payable/Accounts Receivable support and invoice-matching experience
  • Inventory tracking and order coordination experience
  • Proficiency with Microsoft Excel, including price lists, order trackers, and basic reporting
  • Strong attention to detail, organization, and follow-through
  • Ability to prioritize multiple responsibilities in a fast-paced environment
  • Professional written and verbal communication skills
  • Bilingual English/Spanish is a plus

Preferred Experience

  • Experience within building materials, construction materials, metals/aluminum, manufacturing, wholesale distribution, or warehouse-based operations
  • Freight, shipping, or logistics coordination experience
